This policy explains what personal information FitPilot collects, why we use it, who it may be shared with and the choices available to you.

Your privacy matters to us. We aim to explain our use of personal information in clear language and only collect information that is reasonably needed to operate and improve FitPilot.

1. Who we are

FitPilot provides personalised workout planning, guided fitness sessions, progress tracking, rewards and related fitness features.

For the purposes of UK data protection law, FitPilot is the controller of the personal information described in this Privacy Policy.

2. Information we collect

The information we collect depends on how you use FitPilot.

Account information

  • Your name or display name.
  • Your email address.
  • Your account identifier.
  • Authentication and account-security information.

Fitness and profile information

  • Your fitness goals.
  • Your selected fitness level.
  • Your preferred training schedule.
  • Your available training equipment.
  • Your weight entries and weight goal.
  • Your generated workout plans.

Activity and progress information

  • Completed workouts.
  • Workout duration, exercises and sets.
  • Estimated calories burned.
  • Workout streaks and weekly progress.
  • Achievements and personal records.
  • FitCoins, rewards and shop activity.

Subscription information

  • Your subscription status.
  • Your free-trial status.
  • Subscription start and renewal details.
  • Payment confirmation and related transaction identifiers.

FitPilot does not directly store your full credit or debit card details. Payments are processed by our payment provider.

Technical information

  • Browser and device type.
  • Operating system.
  • IP address and approximate location.
  • Login, security, diagnostic and error information.
  • Cookies, browser storage and similar technologies.

3. How we collect information

We collect information:

  • Directly from you when you register, enter fitness information or use FitPilot.
  • Automatically when you access the application or website.
  • From service providers involved in authentication, hosting and subscription processing.

4. How we use your information

We may use your information to:

  • Create and manage your FitPilot account.
  • Generate workout plans based on your selected goals and preferences.
  • Provide guided workouts and save your progress.
  • Calculate streaks, levels, achievements, rewards and FitCoins.
  • Process and manage FitPilot Pro subscriptions.
  • Keep you signed in and remember your settings.
  • Secure FitPilot and prevent misuse or fraud.
  • Diagnose technical problems and improve reliability.
  • Respond to support requests and privacy enquiries.
  • Meet our legal, regulatory and accounting obligations.

We do not sell your personal information.

5. Our lawful bases

Under UK data protection law, we must have a lawful reason for using personal information. Depending on the activity, we may rely on:

  • Contract: where processing is necessary to create your account or provide the FitPilot service you requested.
  • Legitimate interests: where necessary to secure, maintain, understand and improve FitPilot, provided those interests are not overridden by your rights.
  • Legal obligation: where we must retain or disclose information to comply with the law.
  • Consent: where we have asked you to agree to a particular use of your information.

Some information you choose to enter, such as weight information, may reveal information about your health. Where this information is treated as special-category data under applicable law, we will rely on your explicit consent or another valid legal condition.

You may withdraw consent at any time. Withdrawal does not affect processing that lawfully took place before consent was withdrawn.

6. Personalised workout generation

FitPilot uses information such as your goals, fitness level, training schedule and available equipment to create personalised workout recommendations.

Workout recommendations are provided for general fitness and informational purposes. They are not medical advice, diagnosis or treatment.

FitPilot does not use automated processing to make decisions that produce legal or similarly significant effects about you.

7. Service providers and data sharing

We may share information with trusted providers where this is necessary to operate FitPilot. These currently include:

  • Supabase: account authentication, database and backend services.
  • Stripe: subscription and payment processing.
  • Vercel: application and website hosting.

We may also disclose information:

  • When required by law, court order or a lawful request from a public authority.
  • To protect FitPilot, our users or others from fraud, security threats or unlawful activity.
  • As part of a business sale, restructuring, investment or transfer, subject to appropriate safeguards.

These providers process information under their own contractual and privacy obligations.

8. International data transfers

Some of our service providers may process information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate legal transfer mechanism and safeguards are in place, where required by applicable data protection law.

You may contact us for more information about the safeguards relevant to your personal information.

9. Storage and security

Information may be stored in FitPilot's cloud services and, for some features, in local browser or device storage.

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

No online system is completely secure. You are responsible for keeping your login information confidential and should notify us if you believe your account has been compromised.

10. How long we retain information

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including providing FitPilot, maintaining security and meeting legal obligations.

Account and fitness information will normally be retained while your account remains active. When you delete your account or request deletion, we will delete or anonymise associated personal information within a reasonable period unless:

  • we must retain it by law;
  • it is required to resolve a dispute or enforce an agreement;
  • it remains temporarily within secure backup systems; or
  • it has been anonymised so it no longer identifies you.

Payment and transaction records may be retained for longer where required for tax, accounting, fraud-prevention or legal purposes.

11. Cookies and local storage

FitPilot may use cookies, browser storage and similar technologies to:

  • keep you securely signed in;
  • remember your preferences;
  • store certain progress information;
  • support subscription functionality;
  • maintain security; and
  • improve performance and reliability.

Your browser may allow you to remove or block these technologies. Doing so may prevent parts of FitPilot from working correctly.

12. Your data-protection rights

Depending on your location and the circumstances, you may have the right to:

  • Request access to personal information held about you.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to delete your personal information.
  • Ask us to restrict the use of your information.
  • Object to certain uses of your information.
  • Receive certain information in a portable format.
  • Withdraw consent where processing relies on consent.

Your right to object

You have the right to object to processing based on our legitimate interests. We will stop the processing unless we have compelling legitimate grounds to continue or the processing is needed for legal claims.

13. Account deletion

You may request deletion of your FitPilot account and associated personal information.

Visit our Delete Account page or email support@fitpilot.co.uk using the email address connected to your account.

Deleting your FitPilot account does not automatically cancel a subscription managed through a separate payment or app-store account. Any active subscription must also be cancelled through the provider through which it was purchased.

14. Children's privacy

FitPilot is not intended for children under the age of 13, and we do not knowingly collect personal information from children under 13.

If you believe a child has supplied personal information to FitPilot, please contact us so we can investigate and take appropriate action.

15. Complaints

Please contact us first if you have concerns about how we handle your information. We will try to resolve your concern.

16. Changes to this policy

We may update this Privacy Policy when FitPilot, our service providers or applicable legal requirements change.

The updated version will be published on this page with a revised effective date. Where a change is significant, we may also provide an additional notice inside FitPilot or by email.
